At Justworks, we’re always looking for ways to simplify and automate administrative tasks. We’re excited to announce a new, time saving feature as part of your payroll process. Hourly employees can now enter their own hours directly into Justworks!
Enter hours: At the end of a pay period, hourly employees log into Justworks, enter their hours, and submit their timecard for approval.
Approval: Employers review, edit, and/or approve employee submitted hours.
Notifications: Employees are notified anytime their hours are edited or approved so they can track the status of their timecard.
Payment: When employers have approved the timecards, employees get paid!
Check out this short video for a step-by-step guide on how to get your employees set up.
Your employees can now enter their hours directly into Justworks. All you have to do is check them and approve. You can turn on this function on the ‘Pay hourly employees’ page in Justworks. Otherwise, you can continue to enter hours on behalf of your employees and not make any changes.
Your employees will receive an email letting them know they will need to fill in their own hours in Justworks. Employees are prompted to enter their hours they’ve worked and submit them to you for approval.
It’s easy to check which employees have submitted their timecards and which ones you’re still waiting for. We’ve split timecards into three clear tabs to indicate the status of your employee timecards:
Ready for Review - Not Submitted - Approved
We’ve also setup automated email reminders for you and your employees.
**
Employees:
- Receive automated email reminders to submit their hours at the end of each pay period (usually a Sunday) and on the morning timecards are due. - Receive email notifications anytime you edit and/or approve their hours.
Employers:
**- Receive automated email reminders with the status of employees’ timecards at the end of each pay period (usually a Sunday) and the morning that your company processes payroll.
You can read more about paying hourly employees in our Help Center.
If your employer enables the employee timecard entry function, you will be responsible for entering the hours you have worked in Justworks. Go to ‘Timecards’ on the side panel of your Justworks dashboard. At the end of each pay period, enter the total number of hours you worked and submit your timecard to your employer for approval. You can choose to enter your hours by day or by week.
You’ll receive emails from Justworks to remind you to complete your timecards at the end of each pay period (usually on a Sunday) and on the day hours are due. Once you click ‘submit timecard’, you won’t be able to edit the hours you’ve entered, and your employer will need to make changes for you. So make sure you don’t submit your timecard unless you’ve entered all the hours you’ve worked for the whole pay period!
You will also receive an email when your employer has approved your timecard and/or if they make any changes to the hours you’ve entered, like adding overtime hours. Only your employer can add overtime hours.
As long as your employer approves the hours you’ve worked in time to process payroll, you will get paid on Friday as usual!
